Great Northern is looking for an Online Account Service Representative. In this role, you will work closely with both external customers and other internal stakeholders in ensuring that our customer’s expectations are exceeded.

Job Summary:

The Online Account Service Representative is responsible for handling and following through on customers’ requests for service and product information in support of our online sales activity. You will use a consultative service approach to motivate customers and prospects into making a purchase decision.

General Responsibilities:

  • Interact with the customer on questions related to quotes and product offerings in an urgent and accurate manner.
  • Influence the customer into making a purchase decision utilizing electronic/phone-based sales methods.
  • Inform customers of unit prices, shipping date, anticipated delays, and any additional information needed by customer.
  • Provide price quotations for customers and prospective customers.
  • Interact with our logistics team to determine best way to ship product and provide accurate shipping quotes to customers.
  • Live chat online to answer customer questions and answer customer phone line.
  • Write, type, or edit orders, or enter data accurately into computer, to determine total cost for customer.
  • Record or file copies of orders.
  • Assist in ascertaining credit rating of customer.
  • Check inventory control and notifies stock control departments of orders that would deplete stock.
  • Determine production routing of custom orders according to specifications and machine capabilities.
  • Initiate purchase requisitions.
  • Route orders to appropriate department for order processing.
  • Follow up on orders to ensure delivery by specified dates.
  • Investigate and resolve routine requests and customer complaints.
  • Confer with production, sales, shipping, and warehouse staff to expedite orders and trace missing or delayed shipments.
  • Cross-sell additional merchandise to customer.
  • Back up and provide support to various other internal teams.
  • Update job knowledge by participating in educational improvement opportunities: reading industry and marketing publications; maintaining personal networks; participating in sales and marketing organizations.
  • Provide some administrative support for management.
  • Compile statistics and prepares various reports for management.
  • Perform a variety of miscellaneous job-related tasks as may be assigned from time-to-time by a Management Representative.

Experience/Education Requirements:

  • High school diploma or general education degree (GED); and 5 years related experience and/or training; or equivalent combination of education and experience.

To perform all aspects of customer service functions in accordance with GNC service, quality, accuracy and efficiency standards. Provides the critical link between customer, account manager, scheduling and the plant. Clearly understands how orders flow through GNC – Chippewa Falls, follows procedures and consistently performs the daily operations this position demands.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED.

  1.  Provides direct interface to the customer, sales, technical services, scheduler and production to resolve inquiries, questions and problems to complete orders on time.
  2. Processes requests for all quotes and samples working with design, estimating, technical services and sales.
  3. Determines additional quantity pricing on all estimated items following departmental pricing guidelines.
  4. Provides account details to sales and management to receive instructions for updating account pricing.
  5. Estimates projects and provides formal quotes to sales / customers for color and multi-part displays.
  6. Participates in multiple conference calls and meetings to discuss execution of project (s) prior to release of purchase orders.
  7. Prepares for and facilitates internal critical path meetings for display projects to inform and communicate customer requirements. Follows-up on any outstanding issues to assure on-time, accurate, quality service to our customers.
  8. Processes all orders following department procedures and policies utilizing customer service, and factory ticket programs.
  9. Manages receipt of graphic files, approvals of graphics, set up instructions and color swatches – direct print and litho color matches.
  10. Properly updates progress of projects through the project management program and project management meetings.
  11. Ensures requested changes are made to the customer service program (add to masters and customer changes).
  12. Coordinates new and updated customer paperwork through accounting to establish an active account.
  13. For new orders, works with technical services and sales to collect customer specifications and production requirements for the creation of the factory ticket.
  14. Reorders and releases, according to computer settings, customers’ inventory, make and hold, and supplier managed inventory (SMI) items. Responsible for monitoring all items placed in inventory so they are properly managed.
  15. Verifies that warehouse, fulfillment, if applicable and shipping costs are included in the estimating program.
  16. Compares original purchase orders to the customer service program to ensure accuracy of order placed. Confirms all purchase orders with the customer, in the same business day or within customer specified guidelines.
  17. Coordinates fulfillment for customer displays and customer owned merchandise.
  18. Makes adjustments and changes to orders and informs appropriate internal personnel of these adjustments and changes. Communicates changes to suppliers, technical services, and production scheduling, and adjusts the computer system to reflect these changes.
  19. Advises production scheduler and traffic supervisor of any changes in delivery methods or dates.  Prepares all the necessary paperwork and updates computer programs to reflect all changes to delivery methods.
  20. Responsibly handles all aspects of incorrect and/or problem orders, informing all personnel. Provides effective resolutions to prevent reoccurrences.
  21. Reports all required information related to customer dissatisfaction/compliments through the Customer Feedback and Complaint system.
  22. Ensures all information is provided to accounting so customers can be timely invoiced for all shipments. Prepares all necessary paperwork for the invoicing of customer supplied tooling and corrugated materials.
  23. Provides all the necessary information to accurately determine the root cause of quality and quantity issues.
  24. Effectively manages workload in order to meet customer and internal information requirements and timelines. Openly communicates swings in workload and customer expectations to coworkers and management.
  25. Provides coverage to other account coordinator’s accounts when they are out of the office, or workload demands additional support.
  26. Effective use of the following computer programs: Imaginera Operating System, Intranet, Microsoft Word, SharePoint, and Microsoft Excel programs.

This full-time position is the direct communication link between the customer, design, production, sales, and outside vendors.  Our Project Managers are responsible for managing all aspects of POP programs/projects.  This includes, but is not limited to: estimating, quoting, purchasing, order entry, press approvals, building relationships with customers and external vendors, invoicing, and job costing.  The ideal candidate must possess the ability to accurately coordinate complex projects from start to finish in a fast paced environment.

POSITION SUMMARY

  1. Participates in continuous improvement and effectively communicates opportunities to improve efficiencies and effectiveness for this position.
  2. Receives customer order information directly from customers or from the Account Manager(s).
  3. Brings together all of the necessary order entry specifications and details so the order can be manufactured and delivered per the customer’s request.
  4. Calculates and verifies product pricing per established company schedules.
  5. Enters all order specification information into the computer including customer, product, boards, dies, inks, design, pricing, bundling, ship dates, and so forth.
  6. Expedites product orders through design, technical services, manufacturing and shipping to meet customer expectations.
  7. Prioritize and adjust order schedules to satisfy customer needs and maximize company efficiency.
  8. Maintain customer inventories and release products as determined by the customers and/or Account Manager(s).
  9. Estimate new product costs based on materials cost guidelines.
  10. Report customer complaints and issue credits as required.
  11. Communicate and interact with external and internal customers daily.
  12. Follow up on invoice discrepancies.

  14. Managing inventory from order entry to on-time delivery through aged and obsolete status.

    1. Correcting and filing all purchase orders and purchase order attachments electronically.
  17. Working knowledge of Great Northern’s estimating, order entry and scheduling software; HRMS and KIWI.
  18. Confirming deliveries and communicating late orders
    1. Follow up to all received P.O.’s
    2. Auto order acknowledgements
  19. Ordering, quoting and inventory management of customer P.O.’s ordered from an outside location
  20. Backing up department personnel
